Help & FAQ
Everything you need to know to get set up. Can't find it? Email cballardinc@gmail.com.
Getting started
What do I do first?
- Create your account with your email (we send you a code, no password).
- Answer a few questions about your business.
- The setup helper walks you through each connection, one at a time. Skip anything you don't use.
- When you're ready, go live from Your plan on Home.
What is preview mode?
Before you go live, everything is set up and you can look around, but nothing goes out to customers yet: no texts, emails, posts or AI calls. Messages wait with "goes out once you go live". Going live turns it all on.
How long does setup take?
About 10 to 20 minutes if you have your accounts handy. You can stop and come back any time; your progress is saved.
Do I give you my passwords?
Never. Square and Instagram connect through their own sign-in screens. Other services use a key you paste in yourself, and we never show it back to anyone.
My Instagram won't connect. What do I do?
Your Instagram has to be a Business or Creator account. It's free and takes 30 seconds:
- Open the Instagram app and go to your profile.
- Tap the menu (☰), then Settings and privacy.
- Tap Account type and tools, then Switch to professional account.
- Pick Business, choose a category, and finish.
- Come back and tap Connect Instagram again.
You don't need a Facebook Page.
Why didn't my post go to Instagram?
Instagram only allows posts with a photo. Add a photo to the post and it will go out. Posts without a photo wait in Social with Copy and Share buttons.
What gets posted automatically?
Your deals, events and closures, at the times you set. You can edit, skip or turn off any of them in Social.
It says "Reconnect Instagram"
Instagram asks for a fresh sign-in now and then, or after you change your password. Tap Disconnect, then Connect again.
Phone & AI receptionist
What can the AI receptionist do?
- Answer your business line 24/7 in a friendly voice.
- Answer questions about your services, prices, hours, deals and events, using what you put in Receptionist.
- Check your open times and book appointments, then read the time back.
- Transfer the caller to your cell when they're upset or need you.
- Log every call with a summary in the portal.
It never makes up prices, never promises things you didn't list, and never takes card numbers.
How do I make the AI smarter?
Fill in Receptionist: services and prices, common questions, what it should never say, and when to hand off to you. The more you write, the better it answers.
How does missed-call text-back work?
When you miss a call, the caller gets a text right away so you don't lose the job. You forward your cell's unanswered calls to your business number. The dial code for your carrier is in Tools > Missed calls.
Texts & email
Who gets texts and emails?
Only customers who said yes. Imported customers are never signed up for marketing. Anyone can reply STOP to texts or tap unsubscribe in emails, and we stop right away.
How do review requests work?
After a visit, customers get a link to rate you. Everyone gets the option to leave a Google review.
Using a free code (like BANYAN)
How does a free code work?
Enter it under Have a code? in Your plan. The plan becomes $0. You connect your own accounts and pay those companies directly for what you use, so you only pay for what you use.
Which accounts do I connect?
- Twilio for your business phone number, texts and missed-call text-back.
- Vapi for the AI receptionist (Front Desk plan and up).
- Resend for sending emails from your business.
- Square for payments and invoices (optional).
Each one has a short guide in Your accounts. Copy the key from their site, paste it in, done.
What will those accounts cost me?
Rough guide; check each company's site for current prices:
- Twilio: a phone number is a couple dollars a month, plus about a penny per text and a penny or two per call minute. US carriers also require a one-time texting registration with small fees.
- Vapi: starts with free credit, then pay per minute of AI calls.
- Resend: free for up to 3,000 emails a month.
A new Twilio account starts as a trial. To text real customers, add funds and complete the texting registration in Twilio.
Billing
What does it cost?
Same price every month, or save with yearly. See Pricing. Phone carriers require a one-time $29 texting setup (not needed with a free code, since you register in your own Twilio).
Can I cancel?
Yes, any time from the portal's Requests tab or by email. Service runs to the end of the period you paid for. And if your automations aren't running within 21 days of your first payment, you get a full refund.
